What this calculator does
This calculator estimates the Total Recordable Incident Rate, commonly abbreviated TRIR. It converts a workplace's count of recordable injuries and illnesses into a standardized rate per 200,000 hours worked. That common base makes organizations of different sizes easier to compare. The result is an exact arithmetic identity for the values entered, but it is not a complete judgment about safety culture, legal compliance, incident severity, or future risk. A low rate can still include a serious event, while a high rate in a small workforce can be driven by very few cases.
When to use it
Use TRIR when preparing an annual safety review, comparing business units with different headcounts, checking a contractor prequalification metric, or studying whether recordable-event frequency is changing over time. For industry comparisons, match the reporting period and case definition and use a comparable benchmark. Recordable injuries and illnesses is required and must be a nonnegative whole number. A realistic entry is 2. Increasing this value raises TRIR in direct proportion when hours stay constant. Do not enter every first-aid-only event automatically; use the applicable recordkeeping definition. OSHA's recordkeeping resources explain the federal framework and forms. A common mistake is mixing a case count from one period with hours from another.
Total hours worked is required and must be greater than zero. Enter a plain or comma-grouped number such as 2,000,000. More hours lower TRIR when the number of cases is unchanged because the same incidents are spread across a larger exposure base. Do not use headcount in this field, and do not include hours outside the case-count reporting period. Zero hours cannot produce a meaningful rate and is rejected.
Output guide
Total Recordable Incident Rate is the primary output, displayed to two decimals. It measures recordable cases per 100 full-time-equivalent workers under the standard 200,000-hour base. Zero means no recordable cases were entered; a larger value means greater recorded case frequency, not necessarily greater severity. Worked example
With 2 recordable cases and 2,000,000 hours worked, multiply 2 by 200,000 to get 400,000 standardized case-hours. Divide 400,000 by 2,000,000 hours. The first-open TRIR is therefore 0.20. The same hours correspond to 1,000.00 full-time-equivalent workers at 2,000 hours each, and the average exposure is 1,000,000 hours per recordable case.
Formula, interpretation, and reporting discipline
The formula is TRIR = recordable cases × 200,000 ÷ employee hours worked. OSHA confirms this incidence-rate structure in its standard interpretation on incidence-rate calculations. The factor 200,000 corresponds to 100 employees working 40 hours per week for 50 weeks. It standardizes exposure; it does not imply that every employer has exactly that staffing pattern.
TRIR is most useful as one line in a broader safety dashboard. Review the underlying case types, severity, days away or restricted, near-miss reporting, corrective-action closure, and workforce changes. Small organizations should interpret year-to-year swings cautiously because one case can materially change the rate. Larger organizations may supplement the enterprise total with consistent location or activity views, provided case and hour boundaries stay aligned.
For external benchmarking, compare like with like. Industry mix, job hazards, establishment size, workforce composition, and recordkeeping practices can all influence observed rates.
